Stock management for charity shops

A charity shop has no purchase price, but it does have stock — and that has to be just as accurate.

Most of it arrives as a donation. So there is no purchase invoice, but there is an intake you have to be able to show: how much came in, what reached the shop floor and what was sold. For your trustees, your funding file and your annual accounts, that is the story of the year.

On top of that, the people change. Volunteers work one day a week, and sometimes for one season. A system that needs a forty-page manual will not be used — a screen with four fields will.

What it does for a charity shop

  1. One record per piece, purchase price or not

    Photograph, category, condition and price. Having no purchase price is not a problem: the record works with or without one.

  2. Learnable in one morning

    You switch on the fields you use and the rest disappears. A new volunteer only sees the screen they need.

  3. Several people at once, without a second list

    Everybody works in the same stock, from different devices as well. There is no file being emailed around.

  4. See what came in and what was sold

    Per period and per category, with the proceeds beside it. That is exactly what trustees or a funding file ask for.

In the app: everybody works in the same stock, and you invite your colleagues with their own log-in. Which fields a volunteer sees, you choose in the settings.

Where it goes wrong in a charity shop

Do you also sell online?

What it costs

Free up to ten pieces in stock. No card number, and no trial that runs out. A small shop or a market stall can keep working in it for as long as they like.

Frequently asked questions

Does it work when there is no purchase price?

Yes. For a donation you simply leave that field empty; the record, the label and the sale work as usual.

Can several volunteers work at the same time?

Yes. There is no limit on the number of colleagues per business, each with their own log-in, and everybody works in the same stock.

What does Vintro Pro cost?
