For every vehicle the chassis number, the registration, the mileage and the photos on one record, next to what you paid and what you are asking. From purchase to invoice.
A used car is not an item off a shelf. It has a chassis number, a mileage and a history — and you get asked about every one of them.
The buyer asks about the mileage and the servicing, the accountant asks for the purchase invoice, and with a motorhome come the questions about the layout: how many berths, which awning, which fridge. If all that is spread across a folder, a phone and an Excel list, you search again at every question.
Garage software is built for repairs and job cards. A dealer who buys and sells needs something else: one record per vehicle, with its own purchase price, its own margin and its own paperwork.
A description, the condition and as many photos as you like. Chassis number, registration, mileage and year go into custom fields you create yourself — for a motorhome the length or the number of berths as well. You can search and filter on every one of those fields.
For every vehicle you see what you paid and what you are asking. Bought from a private seller? Vintro Pro works out the margin and sets it out per period for your accountant. How the scheme works for vehicles is explained in margin VAT on used cars.
Print it on a Zebra or a portable bluetooth printer, with the price on it. At the sale you scan the code, and the vehicle is in your invoice basket.
From the basket you make the invoice: in Odoo as a draft invoice, for another accounting package as a CSV file. And with one switch a vehicle appears in your own catalogue, which you share with a link.
In the app: your vehicles sit under Stock. With + Add custom field you create fields such as Chassis number, Registration and Mileage, and you move them to the front of the table.
The chassis number and mileage are on a loose sheetThen you copy them out again for every advert, every invoice and every buyer’s question — and one wrong character in a chassis number is enough to send you searching.
VAT shows on a margin scheme invoiceA car bought from a private seller and sold under the margin scheme gets an invoice without a separate VAT amount. In Belgium the FPS Finance also requires a statement that the supply falls under the special margin scheme.
A motorhome that stands all winter goes unnoticedA vehicle on your forecourt is capital standing still. The app shows what is not moving, so that you can decide — see dormant stock.
Belgium: whoever sells a used car, van or motorhome up to 3.5 tonnes hands the buyer a Car-Pass — trader or private seller, unless the buyer is a car dealer. Without one, the buyer can demand that the sale be dissolved. Netherlands: a business recognised by the RDW registers the mileage when a vehicle enters its trade stock, and for means of transport the global method is compulsory under the margin scheme. France: if you sell a car or van over four years old to a private buyer, a roadworthiness test (contrôle technique) less than six months old is required; the margin is worked out item by item. United Kingdom: the VAT is 1/6 of the margin, and HMRC asks for a stock book that tracks every vehicle individually. Yes, if you bought it without VAT, for example from a private seller. In Belgium the FPS Finance lists other motorised land vehicles next to cars and motorcycles among second-hand vehicles, and in the UK the scheme covers any second-hand motor vehicle that has been driven on the road. If your purchase invoice showed VAT, the vehicle is excluded.
